We would like to inform you, in accordance with the provisions of the General Data Protection Regulation (GDPR), about how we process the personal data you provide to us during the application process and, if applicable, the data we collect from you. To ensure that you are fully informed, please find below all relevant information regarding the processing of your personal data within the scope of the application process.

 

Data We Process

We process personal data that you provide to us via email or mail during your application, as well as in the job interview. This includes contact information, CV, certificates, qualifications, a photograph, and, if necessary, bank details for reimbursement of travel expenses.

We initially use this data to carry out the application process and then assess whether to offer you the position and hire you. The processing of your data is based on Article 88(1) of the GDPR in conjunction with Section 26(1) of the Federal Data Protection Act (BDSG). If you provide us with special categories of personal data, such as health data, the processing will be carried out in accordance with Article 9(2)(b) of the GDPR in conjunction with Section 26(3) of the BDSG.

If you successfully complete the application process and accept our offer, we will retain your data for the purpose of employment. The processing is based on Article 88(1) of the GDPR in conjunction with Section 26(1) of the BDSG.

 

Data Deletion

We will delete your data when there is no legal obligation to retain it, and the necessity or legitimate interest in its storage no longer exists. If no specific instructions are given, we will regularly remove your data no later than six months after the completion of the application process.

In some special cases, certain data may be stored for a longer period, such as for the reimbursement of travel expenses. In such cases, we adhere to the legal retention obligations as defined in the Commercial Code or the Tax Code (six or ten years) or the duration of a legal proceeding and the subsequent statute of limitations.

If an employment offer is not extended, but we continue to have an interest in your application, we will contact you to inquire whether we may retain your application for future job openings.

If you sign an employment contract with us, your data will be stored for the duration of the employment relationship. In this case, you will receive further information regarding the processing of your data within the scope of employment before the commencement of the employment relationship.

 

Recipients of Your Data

We treat your data confidentially and do not disclose it to third parties. However, we have engaged a service provider for our applicant management system who has access to your data within the scope of data processing on our behalf. Additionally, we use service providers for hosting, maintenance, and support of IT systems, as well as for archiving and destruction of documents, with whom we have also concluded separate contracts for data processing.

 

Your Data Protection Rights

As a data subject, you have the right to information about the personal data concerning you (Article 17 of the GDPR), to rectification of inaccurate data (Article 18 of the GDPR), and to erasure if one of the reasons listed in Article 19 of the GDPR applies, for example, if the data is no longer necessary for the intended purposes. Furthermore, you have the right to restrict processing if one of the conditions listed in Article 20 of the GDPR is met, and the right to data portability in accordance with Article 22 of the GDPR. Therefore, we recommend that you only provide the personal data necessary for the application process.
